Notary Supplies: Tools of the Trade

A mobile notary signing business requires certain tools in order to perform the job correctly. A stamp and/or seal, documents and transportation are the core tools of the trade. But there is more to this business than the basics.

Communication

A reliable cell phone should be carried, fully charged, at all times. It is also a good idea to carry a pre-paid phone from a different company for times when you’re in an area that your carrier doesn’t provide adequate coverage or if your phone is lost or stolen. A backup phone can allow you to continue to operate your business as usual. Many companies offer free phones or other incentives for pre-paid plans and you can control your costs.

Printing Supplies

If you print documents as part of your services offered, make sure to stock up on paper, toner and drums for your printer. Always have a spare toner cartridge or refill kit and drum in your supply closet to ensure you never run out during a print job. Internet Connection

A broadband Internet connection is critical. File sizes can easily exceed 1MB and a dial-up connection doesn’t offer the speed to download and print effectively or efficiently. Make sure your computer and printer have enough memory to handle the load for printing document files.

Backup for Computer

Ideally, a backup computer is nice to have in business. Should you receive a virus or trojan on your main computer, a backup computer can keep your business running until the problem can be fixed. Make sure that all programs are downloaded onto it, as you don't want to have to take extra time downloading, when there's a problem with your main computer. Alternately, an external hard drive, zip drive or dedicated backup server can at least keep your data from being destroyed. Explore your options before your computer crashes or your data becomes corrupted and, most importantly, backup your data regularly.

High Volume Laser Printer

A laser printer is critical for printing loan documents. Most likely, you’ll want one that has a high print speed and the convenience of dual paper trays. Make sure it is PCL6 compliant, as some loan packages will not print correctly on a non-compliant printer. You don't want to find out the hard way that your printer won't print the package.

Fax Capabilities

Many companies require some documents to be faxed back, either to speed processing for funding or for quality control. You can either purchase a stand-alone fax machine, purchase an all-in-one machine, pay to fax at a local office store or use an e-fax service. Many e-fax providers offer a free trial period. Consider the pros and cons of each when making a decision on any purchase.

High-Powered Flashlight

Easily taken for granted, a flashlight should be carried in your vehicle. For more than safety purposes, a flashlight is an indispensible tool. At night, it can be very difficult to view house numbers from the road. Oftentimes, numbers are either missing completely, too small to read or obscured. Sometimes, they are placed directly under or next to an outside house light, making them difficult to see in the dark when looking at the light. Most borrowers will leave the porch light on, but this is not always the case. A flashlight can help you navigate an unlit walkway, help you be seen on a busy road and help you unlock your car doors. It can also help you see small street signs or dirt roads. Always make sure batteries are fresh and that the light works. It can be a real life saver.

Reliable Transportation

As a mobile notary, reliable transportation is a must. You may be traveling in inclement weather, down dark, country roads or in rural areas. Since breakdowns occasionally happen, it is a good idea to purchase roadside assistance. A breakdown can leave you stranded. Even a simple flat tire can be more than an inconvenience to your business. Having a second vehicle, if possible, is also a good idea so you don’t miss anything when your vehicle is out of commission for repair(s).

Driving Directions

In order to be a mobile notary, you must be able to reach your destination. Always map out your route, so you can arrive on time. Whether you carry maps in your vehicle, utilize an online mapping program or have a GPS unit, you should always know where you're going and how to get there.
